Job Description
The Receptionist / Shipping & Receiving / Facilities Contractor role is responsible for supporting the daily operations of the Lawrence research facility. This position serves as the first point of contact for visitors and vendors while ensuring the efficient coordination of incoming and outgoing shipments that support laboratory and business operations.
The role plays a critical part in maintaining smooth facility operations by managing shipping and receiving activities, assisting with security and visitor management, and providing general facilities support as needed. The ideal candidate is highly organized, service-oriented, and comfortable working in a fast-paced research environment.
Key Responsibilities:
Shipping & Receiving Operations
- Manage all incoming and outgoing shipments for the Lawrence site, including laboratory materials, office supplies, and equipment.
- Receive, inspect, log, and distribute packages to appropriate departments and personnel.
- Coordinate outbound shipments with internal teams and external carriers.
- Prepare shipping documentation and ensure proper packaging and labeling requirements are met.
- Support shipment tracking and maintain accurate records of deliveries and dispatches.
- Coordinate with vendors, couriers, and internal teams to resolve shipment issues.
- Supports Invoices and Packing slips verification for the procurement team.
Reception & Visitor Management
- Serve as the primary reception contact for the facility.
- Greet visitors, vendors, and contractors and ensure proper check-in procedures are followed.
- Manage visitor badges and coordinate with internal hosts to facilitate site access.
- Answer and direct incoming calls and general inquiries.
Security & Access Support
- Support facility access control processes including visitor badges and vendor access coordination.
- Assist with monitoring building cameras, entry points and following established security procedures.
- Coordinate with facilities or security teams regarding access or safety concerns.
Facilities Support
- Support minor facilities-related tasks and assist the facilities team with operational needs
- Assist facilities team with office and common area organization and general workplace upkeep.
- Help coordinate vendor services, deliveries, and facility-related requests.
Required Qualifications
- High school diploma or equivalent.
- 2+ years of experience in reception, shipping/receiving, facilities support, or a similar operational role.
- Strong organizational and multitasking skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong interpersonal and communication skills.
- Proficiency with basic computer systems (email, spreadsheets, shipping systems, or office tools).
- Ability to lift and move packages up to approximately 40 lbs as part of shipping and receiving duties.
Preferred Capabilities
- Experience working in a laboratory, research, or life sciences environment.
- Familiarity with shipping carriers and logistics processes (FedEx, UPS, DHL, freight).
- Experience with visitor management or access control systems.
- Strong customer service mindset with a proactive approach to problem solving.
- Ability to work independently while supporting a collaborative team environment
