Contractor, Marketing Operations

Our client is looking to add a contractor to their Marketing Operations team for a term of six (6) months to support conferences, speaker programs, advisory boards and consulting engagements.  The ideal candidate is someone with an administrative or operationally-focused background, with strong communication skills, alongside flexibility to operate effectively in a shared service capacity.

Responsibilities:
  • Manage and support Speaker Programs, Conferences and Consulting Engagements

This management and support includes, but is not limited to, the following:
  • Partner with Commercial Marketing to ensure timely and accurate execution of events and logistics.
  • Manage third party vendors to ensure timelines, expectations and business rules are met.
  • Drive projects by developing, managing, tracking, communicating timelines, coordinating schedules, participating in/leading meetings and overall logistics management.
  • Manage and support the Promotional Literature Warehouse

This management and support includes, but is not limited to, the following:
  • Ensure new portal users are set up in a timely and accurate manner.
  • Ensure that new materials are properly set up and expired materials are properly disposed of.
  • Liaison with business units to ensure all materials align with current standards.
  • Ensure involvement of appropriate cross-functions/individuals in relevant meetings, decisions and working groups.
  • Initiate new processes or modifications of processes and coordinate the introduction of new approaches when necessary.
  • Coordinate project planning, forecasting, timelines, vendor selection and contract negotiation.
  • Identify and implement opportunities to improve organizational effectiveness.
  • Perform other business administrative duties as assigned.

Qualifications and Skills Required:
  • Bachelor’ s (BA/BS) Degree required
  • 5-7 years of professional experience
  • Preferred experience with Speaker Programs, Conferences and/or Consulting
  • Strongly preferred experience in the pharmaceutical, healthcare agency and hospitality industry
  • Preferred experience in vendor management
  • Ability to work well with all levels of employees and demonstrate strong partnering skills
  • Capacity to thrive in a fluid, fast-paced environment with multiple demands with initiative and independence required
  • Proficient in Microsoft Office
  • Capable of making clear decisions under tight deadlines
  • Excellent team player with strong interpersonal skills
  • Highly organized and attention to detail with the ability to reprioritize project workload quickly
  • Excellent written and verbal communication skills
  • Professional, proactive demeanor
  • Excel in a fast-paced, deadline driven environment and is able to focus and follow guidelines with minimal supervision
  • Ability to meet deadlines under pressure
