Administrative Assistant, Finance & Accounting

This position provides administration to the Finance & Accounting Team as well as providing backup support to the Chicago reception area. Success in this position depends on superior organization and time management, as well as exceptional verbal and written communication skills. The ideal candidate for this position is a skilled specialist who completes tasks in creative and effective ways. The ability to identify problems, analyze information and develop conceptual solutions to complex challenges is essential. This individual takes ownership of the work requiring attention and can determine methods and procedures on new assignments.

Job Responsibilities:
  • Provide general administrative and clerical support including mailing, scanning, faxing and copying for senior management
  • Maintain electronic and hard copy filing system as well as document storage
  • Open, sort and distribute incoming correspondence
  • Perform data entry and scan documents
  • Manage calendar for CFO and Corporate Controller
  • Schedule and coordinate meetings, appointments and travel arrangements for CFO and senior staff.  Manage submission of expense reports for senior team.
  • Schedule and coordinate team meetings and other events/maintain office supplies
  • Backup support for Concur travel management system administration
  • Coordinate and maintain department monthly and vacation calendars in Outlook. 
  • Prepare and modify documents including correspondence, reports, drafts, memos for CFO and senior staff
  • Backup support for reception area
  • Exercise independent judgment and discretion in making decisions and carry out activities following general guidelines


Qualifications/ Requirements:
  • Bachelor’ s degree and 2+ years of hands on administrative support experience
  • Advanced PC skills (Word, Excel, PowerPoint, and Outlook) a must
  • Knowledgeable in operation of standard office equipment
  • Excellent attention to detail and organizational skills
  • Excellent communication skills – written and verbal
  • Experience with Concur a plus
  • Used to working in a fast-paced environment
  • Ability to prioritize projects and strong problem solving skills
  • Good research skills and attention to detail
